    Q: How Do I Archive My Newsletters?
    I want my website visitors to see the newsletters I have written and sent. How do I get these to show on my site?

    A: Your newsletters are automatically added to your newsletter archives and show on your website when someone clicks on 'Read Past Issues' when using Artful Mail 2.

    If you are still using Artful Mail 1:
    To set an already 'Sent' newsletter to show in your archives:
    -from control panel
    -click on Dragonfly (Newsletter) icon, top row
    -click on 'Click Here to login to the Email Newsletter System.'
    -click on 'Sent' (left column)
    -click on 'Edit' to the right of each newsletter
    -for option, 'Public Archive', select YES
    -Save Changes

    On any Newsletter Draft (not sent yet), you can set this PRIOR to sending:
    -in newsletter editing screen
    -for option 'Show In Public Archive', select YES
    -Save

    Q: How to Edit the Automatic Message for new Subscribers
    Can I edit the message that goes out to new email newsletter subscribers?

    A: You can personalize the message that your newsletter subscribers receive when they first sign up. Some artists say thank you, assure people their email address will not be shared, etc.

    To customize yours:

    1. Log into your control panel
    2. Click the dragonfly 'Newsletter' icon in upper row
    3. Login to newsletter system
    4. Click 'Settings' - left column
    5. Click 'Confirmation email message for all new subscribers'
    6. Edit text in the text box
    7. click 'Save Changes'

    NOTE:
    An unsubscribe link, as required by law, is added at the bottom of your message. This allows people to opt out if they were added by mistake.

    How to I create and send my newsletter using the original software(not Artful Mail)?

    A: Here are the Basic Instructions for creating an Email Newsletter, if you are not using our new Artful Mail software:

    1. log into control panel
    2. click on Dragonfly icon - top row
    3. click on 'Click Here to login to the Email Newsletter System.'

    -- If Artful Mail is enabled, you will see the Artful Mail dragonfly logo at top left column in newsletter software. In this case, refer to our FAQ at this page:

    4. click on blue 'New Newsletter' button
    5. click on one of the following choices:
    a. Start a New Newsletter from a FASO template
    This option works best because we've tested the layouts in different email programs.
    NOTE: this option is in Beta (testing)
    b. Start a completely blank newsletter
    c. Start a Newsletter by replicating a previous newsletter
    This option makes it easy to create a newsletter that looks similar to a past one.
    NOTE: remember to change TITLE/Subject Line!

    If Artful Mail is not enabled, you will choose from 2 options:
    a. Start a completely blank newsletter
    b. Start a Newsletter by replicating a previous newsletter
    This option makes it easy to create a newsletter that looks similar to a past one.
    NOTE: remember to change TITLE/Subject Line!

    6. start building newsletter
    a. type in subject (title)
    b. add the text portion of the newsletter (you can either add text directly into the text box or create in another program like notepad or wordpad and past into the text area.)
    c. add image(s):
    -Place your cursor in the text editing screen where you wish to place the image
    -Click on 'Insert Image' icon in small tool bar (top edge of text box - a mountain & sun icon - on the far right)

    -A window will pop up with three ways to add an image:
    * Add a New Image from Your Computer
    * Use an Image that you've already uploaded
    * Use an Image from the another Website

    -click on your preference
    -Choose your image
    -click 'Insert Image' or 'Insert Image (Original Size)'-Click Save Changes

    'Insert Image': the image will show as a medium sized-image - 300 pixels in largest dimension.
    'Insert Image (Original Size)': the image will show as large as the original image you uploaded.

    7. Click Add & Save Now button (top and/or bottom of screen)

    NOTE: We recommend Savings Changes on a regular basis as you create the newsletter.

    When you click Add & Save Now you are taken to another page where you will see the following choices.

    1. Continue Editing this Newsletter
    2. Go Back to Drafts
    3. Send a Test of This Newsletter
    (You will be able to send to your subscribers after sending the test)

    If you click on 1. 'Continue Editing this Newsletter' you are taken back to the newsletter you were just working on. You can then add more info and click on SAVE at the bottom of the page.

    If you click on '2. 'Go Back to Drafts' you will see a list of newsletters you have created but not sent. They are saved as DRAFTS. You have 3 choices: Edit | Delete | Send Newsletter

    If you click on 3. 'Send a Test of This Newsletter', the next screen will show the following:

    Test Mailer Sent

    Send this newsletter now BUTTON
    Continue Editing this Newsletter
    Go Back to Drafts
    Send another test of This Newsletter

    I am having trouble using Artful Mail. I use Internet Explorer as my browser.

    A: If you use Internet Explorer as your browser and wish to use Artful Mail for a newsletter, when you login to the newsletter software,
    click on New Newsletter,
    you will see this message:

    ArtfulMail BETA does not support Internet Explorer at this time

    Please try again with Firefox, Chrome or Safari.

    If you wish to proceed with Internet Explorer, click the link below.
    Just be aware things may not work as intended.

    A: If you signed up after November 6th, 2013, your list is already double opt-in. If you signed up prior to that and are ready to enable double opt-in on your list, here are the details:

    1. Login to your FASO account

    2. CLick the "newsletters" icon

    3. Login to the newsletter system

    4. Click "Settings"

    5. Click "List name and web signup form"

    6. Next to "Enable Double Opt-In" click "Yes"

    7. Save Changes.

    Q: What does Last Engagement Time next to my newsletter subscribers mean?
    What does Last Engagement Time next to my newsletter subscribers mean?

    A: We track when your subscribers open a newsletter or click on a link in a newsletter. The "last engagement time" means the last time a subscriber did one of those actions.

    We started tracking this data in mid-november 2013 so it doesn't go back further than that, in most cases.

    It also is not a perfect system and doesn't necessarily capture every single data point, but it will give you an idea who is engaging with your newsletter and who may not be.

    NOTE - last engagement time data only displays if you have Enabled Double Opt-In on your newsletter.

    A: Here are the number of email newsletter subscribers allowed, as well as the total number of newsletters that can be sent in 1 month, per membership plan:

    Intro Plan - $10/month
    * Email Newsletter

    Silver Plan - $19/month

    Q: How to add a batch of email newsletter subscribers
    Can I add Multiple Email Addresses to my Newsletter Subscriber List?

    A: As a paying member, you can upload up to 2000 subscribers as a batch in a 24 hour period.

    We recommend that you export your list to Excel first, and then copy and paste the addresses into a word processing document such as Notepad (PC) or TextEdit (Mac). Then you need to edit them into one of the following correct formats:

    Leonardo Davinci,

    , Leonardo Davinci

    Each line must contain an email address and can also include a name, which must be separated from the email address by a comma.

    Use a comma between each email address to separate them.

    Note: Be sure not to include a comma after the final email address on your list.

    For two names, such as husband and wife, enter as:

    Harold&Maude Chardin,

    For someone with 2 first names, such as Lori Jo Edwards, enter them either as:

    LoriJo Edwards,

    or:

    Lori_Jo Edwards,

    (Otherwise when the system 'sees' a space, it will enter the 2nd name as the last name.)

    Then, copy and paste the list of email addresses as follows:

    1. Login to Control Panel
    2. Click the 'Newsletter' dragonfly icon in the upper row
    3. Click 'Click Here to login to the Email Newsletter System'
    4. Click 'Subscribers' on the left
    5. Click 'Add a Batch of Multiple Subscribers'
    6. Follow instructions

    PLEASE NOTE: To add addresses to your email newsletter subscriber list, you must first have the PROPER PERMISSION for each and every recipient on your list.
    It is a legal requirement that anyone you send your email newsletter to has specifically requested it, and has 'opted in' to your list. Without proper permission, you run the risk of getting reported for spam, or worse, being sued under anti-spam laws.
    The basic principle of permission is that you can only email people who have explicitly given you permission to contact them, and only about subjects that they have specifically agreed to. Failure to ensure that all your recipients fall into this category may result in the termination of your account.

    Q: Email Newsletter SENDING address
    For sending my newsletter, I have been told that I need to use an email address with my domain name in the email address. How do I go about doing this?

    A: Major email providers have changed their authentication policy which is how they verify if an email is spam or suspicious. This change affects your newsletter deliverability if your "from" address is not an email address with your domain name in it.

    The simplified reason for all of this is that you, the artist, are not sending an official bulk email as a representative of yahoo.com, gmail.com, aol.com, hotmail.com, etc. So there is no way for receiving mail servers to verify that you are allowed to be sending from such a 'general' domain (yahoo.com, gmail.com, aol.com, hotmail.com, etc.). Without getting into a lot of technical, really complicated explanations on how this works, we'd like to jump ahead to the solution for this issue.

    Be sure that your "from" address is an email address that originates from your domain (like ). This makes verification a lot simpler and you have far better chances of your subscribers actually receiving your newsletter.

    To set up a personalized email account:
    (no charge for Gold Plan members, $1.75 monthly for lower-priced plans)
    from control panel
    click on EMAIL icon (closed envelope)
    click on Click here to set up a NEW Personalized Email Account
    follow the prompts

    *****Please make a note of your email password and store it in a safe place.
    For your security, we do not store email account passwords.

    To use your personalized email account for sending your newsletters, you have 2 choices:

    (1) change the Administration Email on your account:
    from control panel
    click Gear icon - upper right corner
    click on Account Settings
    click on Email Addresses
    click on Change to the right of 'Your Primary Contact Email
    follow the prompts

    (2) If you do not want to use your personalized email account as your Admin email, and only want to use it for sending newsletters:
    login to newsletter software
    click on 'Newsletter settings'
    click on 'Email from address override'
    Enter email address
    Save Changes

    NOTE: A 'Personalized Email' is an email address that is attached to a domain name - actually having your domain name after the @ symbol in the email address.

    Q: What is 'suppression list' and 'request deletion' button?
    Under Advanced List Maintenance Functions, what is 'suppression list' and 'request deletion' button?

    A: When you log into your newsletter system in your control panel, then
    > Advanced List Maintenance Functions
    > Suppression List
    > request deletion

    The Suppression List is a list of email addresses from subscribers who may have clicked 'This is Spam' in their email program, either by accident or on purpose. It is also likely to have some of the Unsubscribed persons listed here. This Suppression List contains email addresses that need to be permanently excluded from future emails you send.

    Our newsletter provider killed the 'request deletion' feature. What 'request deletion' actually would do would be to REMOVE someone from the Suppression list which would allow them to once again receive the newsletter (that they do not want to be receiving because they either unsubscribed or reported your newsletter as spam).

    If you/we ultimately wanted to clear a person from the suppression list (which the 'request deletion' feature is all about) the person (on the Suppression List) would have to request to be taken off the list so they could once again receive your newsletters. Upon their request, we would open a support ticket with our newsletter provider asking that the person be taken off the suppression list.

    Q: Ways to send a newsletter to only some subscribers
    Can I send a past newsletter to a particular group of recipients?

    A: At this time, there are 2 ways to send your past newsletters to just a select few:

    a) Email them the link to your 'Read Past Issues' page from your website - go to your email newsletter page on your website, and click 'Read Past Issues.' Now copy the URL (web address) from the address bar of your browser. The URL will look something like this:

    http://yourdomain.com/newsletter-archive

    Paste that URL into your email for your recipients.

    This will let them click on links to any sent newsletters that you have marked for public archive.

    or

    b) Forward your own copy of your newsletter (in your own email program) to them.

    PUBLIC ARCHIVE

    Here's how to set any sent newsletters to show in your public archive:

    1. login to control panel
    2. click Newsletter/dragonfly icon in upper row
    3. click to login to newsletter system
    4. click 'Sent' - left column
    5. to the right of your newsletter, click 'Edit'
    6. for 'Public Archive,' set to Yes
    7. save changes
    8. repeat for other newsletters

    The ability to separate your newsletter subscribers into particular groupings and send to just one group, is on our developers' wish list, however we don't have a timeline for it. Hopefully one of the workarounds above will do the trick for you in the meantime.

    Q: How do I correct link to my You Tube video?
    In my newsletter (using Artful Mail 2) I added an image with a link to my You Tube video. The link is not working. How do I correct this?

    A: Login to newsletter software.
    Click on the image. This will open the 'Select Image' pop up window.
    On the right, in the 'Image Link' field, you will see the url.
    It will look something like this:
    http://https://www.youtube.com/watch?v=htewcz

    NOTE the double http part.
    Remove http://https://
    the link will now start with www.
    Click 'Use this Image'

    That will do it!

    Q: Newsletter List Name and Signup Form
    What is the List Name and Signup Form for, in my email newsletter Settings?

    A: When in your newsletter system, click 'Settings' (left column) and then 'List Name and Web Signup Form.' Here you can give your email newsletter a name that will show on your signup page on your site, such as 'Jane Doe's Fine Art Newsletter.'

    You can also create a custom Signup Message here, such as thanking them for signing up, letting them know how often you send newsletters, assuring them you won't share their email address, that type of thing. This is a nice way to personalize the page if that's your style.

    On this screen, we also recommend that you select YES for 'Enable Double Opt-In Now (Recommended)' - then subscribers will need to click a link in an email to confirm they really want to subscribe. This keeps subscribers lists 'clean' and will become the default very soon, so you may as well enable it now.

    Q: I Did Not Receive My Newsletter Test
    My email newsletter test didn't arrive. What should I do?

    A: Sending yourself a test of an email newsletter draft can take time to arrive in your email inbox. (Make sure to check your spam, trash and junk folders in your email program, and in Gmail, also check the Promotions tab.) This seems to be the nature of email; our newsletter provider is unable to correct it from their end.

    It is essential that you check your test before sending your newsletter out. If you have not received your test after an hour or so, let us know and we can forward the test to the admin email we have on file for you. (If you want it sent to a different email address, be sure to let us know what it is.)

    Newsletter tests behave differently from the actual newsletter; rest assured that successful delivery to your subscribers is not affected by the slowness of these tests.

    Here's how to go ahead and send your newsletter when you are sure it is ready:

    - login to your FASO control panel:
    - click Newsletter / dragonfly icon in upper row
    - click to login to the newsletter system (link in yellow box)
    - click Drafts - left column

    - click Send Test - wait for updates
    - click Send this newsletter now

    Q: How do I send my SENT newsletter to a few more people, a few new subscribers?


    A: The easiest way to send your current (recently sent) newsletter to a new subscriber is to forward the newsletter you received.

    If you are going to forward the copy you received to more than one new subscriber, please be sure to either use bcc - blind carbon copy, or forward each email individually. This will protect the privacy of the new subscriber's email address.

    A: Here are the Basic Instructions for creating an Email Newsletter, using Artful Mail 2.0:

    You can see that Artful Mail is enabled by the dragonfly logo in the upper left. If not, you may need to enable Artful Mail 2.0 (in beta testing) :

    -log into control panel

    Then you'll need to go back to your control panel newsletter system, click on Drafts, then click 'Preview and Send' for it to go out to your subscriber list.

    Q: What happens to my list of subscribers if I downgrade my account?
    I need to downgrade my account. What happens to my list of Newsletter Subscribers?

    A: Your hard-earned list of subscribers will remain in place. Our software will not arbitrarily go in and delete your subscribers to get to the allowed limit on the lower priced plan.

    Intro allows for 50 newsletter subscribers.
    Silver allows for 100 newsletter subscribers.
    Gold allows for 1000 newsletter subscribers.
    Platinum allows for unlimited subscribers.

    However you will not be able to send a newsletter without manually deleting subscribers to reach the lower limit.

    NOTE: If you go from a paying plan to the Free BoldBrush Light account, our software will not delete any subscribers listed in your database.
    They will be there for you when you upgrade.

    You can always choose to EXPORT your subscriber list to your computer, as follows:
    Login to newsletter software
    click Subscribers
    click Export your active subscribers to comma-delimited file

    Can I add Email Newsletter subscribers with a CSV file I have?

    A: To add a batch of newsletter subscribers from a .csv file that you've already created:

    1. Login to Control Panel
    2. Click the 'Newsletter' dragonfly icon in the top black area
    3. Click 'Click Here to login to the Email Newsletter System'
    4. Click 'Subscribers' on the left
    5. Click 'Add a Batch of Multiple Subscribers'

    - Look at the instructions/format on this page.

    6. Click 'Import CSV'
    7. Click 'Browse' and find your .csv file
    8. Click 'Next Steps'
    9. Follow instructions

    PLEASE NOTE: Anti-spam laws are very strict. To add addresses to your email newsletter subscriber list, you must first have the PROPER PERMISSION for each and every recipient on your list.
    It is a legal requirement that anyone you send your email newsletter to has specifically requested it, and has 'opted in' to your list. Without proper permission, you run the risk of getting reported for spam, or worse, being sued under anti-spam laws.
    The basic principle of permission is that you can only email people who have explicitly given you permission to contact them, and only about subjects that they have specifically agreed to. Failure to ensure that all your recipients fall into this category may result in the termination of your account.

    Why can't I log in to the Email Newsletter part of my site?

    A: Most likely this issue is cause due to a privacy setting under Internet Explorer, there are two ways to resolve the issue:

    FIRST OPTION

    1. In internet Explorer click the "Tools"

    2. Click "Internet Options"

    3. Click the "Privacy" tab

    4. Change the setting to "Default" or "Medium"

    5. Click "OK"

    SECOND OPTION

    You may need to add the setting in TWO places.

    ONE:
    1. In Internet Explorer, click the 'Tools'
    2. Click 'Internet Options'
    3. Click the 'Privacy' tab
    4. Click 'Sites'
    5. add the site exactly as follows: data.fineartstudioonline.com
    6. click 'Allow'
    The large text box should now contain the site 'data.fineartstudioonline.com' and read 'Always Allow'
    7. Click OK
    8. Click OK

    TWO:
    1. On the Tools menu, click Internet Options.
    2. On the Security tab, click Trusted Sites, and then click Sites.
    3. Under Add this website to the zone, type in data.fineartstudioonline.com
    4. Click Add, and then click Close.

    How do I Send A Test of my Email Newsletter?

    A: One of the features of the email newsletter software is to be able to send a test - to yourself. This enables you to preview your newsletter and check any links you have added to make sure they work correctly.

    To send a test:
    from Newsletter Software
    click on 'Work on Newsletters You've started but haven't sent'
    click EDIT to the right of the newsletter you are working on [OR click on SEND NEWSLETTER (to the right) - this will send the test]
    click Save Changes
    You are taken to a new screen where you see the following choices:

    1. Continue Editing this Newsletter
    2. Go Back to Drafts
    3. Send a Test of This Newsletter
    (You will be able to send to your subscribers after sending the test)

    click on 3. 'Send a Test of This Newsletter'. Once your test has sent, click on
    'Click here to continue'.

    Next screen shows the following options:

    Test Mailer Sent

    Continue Editing this Newsletter

    Go Back to Drafts

    Send another test of This Newsletter

    Send this newsletter now
    ============================================

    You will receive 3 versions of the test in your email:
    Text
    HTML
    Merged (combination of HTML and Text)

    ------------------------

    When the Newsletter is Sent to your subscribers, your subscribers will receive the HTML version, UNLESS they signed up for the Text version (very rare these days).

    Your subscribers will only receive ONE version of your newsletter.

    Q: How Do I Check on Details about Sent Newsletters?
    I have sent out an email newsletter. Is there any way for me to obtain info about who received the newsletter and who did not due to a bounce?

    A: In the 'Sent' screen, you are able to click on "Details" to the right of the email newsletter. This will take you to a summary page about how many emails bounced, were reported as spam or were opened.

    BOUNCES
    Next to bounced you can click "Who bounced" to see specifically who bounced and why.

    * A hard bounce is an e-mail message that has been returned to the sender because the recipient's address is invalid.

    * A soft bounce is when the recipient's name is known correctly, but e-mail may be rejected because the sender's mail box is full or for other reasons.

    * A 'temporary problem' means there is an issue with the recipient's ISP. Nothing can be done on this side. The mailers will continue to try to send once a day for 4 days.

    OPENS
    Next to "Opened by Recipient" you may click "Who opened" to see specifically who opened your newsletter.

    Tracking 'open' rates is not a perfect science. Not all opens are able to be tracked for a lot of reasons including image blockers, and preview panes. Also, text versions of the newsletter can't have a tracker embedded so if the client prefers plain text we have no way to track open rates.

    SPAM
    Clicking "Who reported as spam" will tell you who reported your newsletter as spam to their ISP (by clicking the "Report spam" button in their email program). Be sure that you never add people to your list who did not give you permission and also be sure that your newsletter sticks to the topics your subscribers expect. If you run an art newsletter and send one with a political rant, you will see a high number of people reporting it as spam. So be careful. Once a subscriber reports your newsletter as spam, future newsletters will not be sent to that person (to comply with law) unless they and you go through a fairly involved process of removing the spam block.

    I am having trouble adding images to my Email Newsletter. What can I do?

    A: If you are using Internet Explorer as your browser, you need to make sure to ALLOW all content - both SECURE and NON-SECURE.

    If during the INSERT IMAGE process, you are getting an Internet Explorer pop up box that says:

    'Do you want to view only the webpage content that was delivered securely?'

    you need to answer NO to that question. There are some elements that are not delivered over a secure layer when using our interactive software.

    Answering YES will prevent proper and full navigation features.

    Answering NO here does not in ANY way open you up to any kind of security risk.

    -------------

    Your other option is to use Mozilla Firefox as your internet browser.

    We feel it is a superior web browser.

    Go to mozilla.com
    Click on the (free) download button.

    Can I add images to my email newsletters?

    A: Yes, you can send pictures in your email newsletters. To include images in your email newsletter, use the HTML editor. Here's how to do it:

    1) Login to your FASO Account
    2) Click the "Newsletter" icon in your toolbar
    3) Click the Login button to get to your email newsletter settings
    4) Click Send Newsletter
    5) Click Skip Text Send and you will get the HTML editor.
    6) In the HTML editor you can add images, change the color and size of your fonts and a lot more.
    7) To add an image, choose one from the IMages drop Down menu. This list will include all the images you have uploaded to your site. Any image you want to add will need to be uploaded to your site first and chosen from this list.
